This portal (YFMS) is operated by the Department of Youth Welfare, Gujarat University Centre for Professional Courses (GUCPC), to run KalaaRangam — the Gujarat University Youth Festival — for participating colleges, students, coordinators, judges and volunteers.
Solely to run the festival: verifying AIU eligibility rules (including the under-25 age rule), generating official participation paperwork for your college, issuing your QR ID for venue check-ins, scheduling, judging, results and certificates. Category is used only for eligibility and reservation reporting required by the University/AIU, not for any other purpose.
Some participants may be under 18. There is no public self-registration for this portal — accounts and profile data for every participant, including minors, are entered by that participant’s college (Principal / HOD / Director or Coordinator) on the institution’s behalf. By submitting a minor participant’s details, the college confirms it has obtained the necessary consent from the participant’s parent or guardian to do so.
Your own data is visible to you, your college’s coordinators and Principal / HOD / Director, and festival administrators — scoped to what each role needs to do its job. We do not sell your data or share it for any third party’s own use. The portal does run on third-party infrastructure — cloud hosting and database, file/photo storage, the SMS/OTP and voice-call services that deliver verification codes and festival updates, and an AI service used only for the in-app FAQ assistant and support-ticket triage — each of these acts solely under our instructions to operate the portal, and does not use your data for its own purposes.
Accounts are protected by OTP or a self-chosen PIN (never a shared password); PINs and passwords are stored as one-way hashes, never in plain text. Every sensitive action is logged in an audit trail. There is no public self-registration — only your college’s coordinators or admins can add your account. No method of online storage or transmission is completely secure, but we take reasonable technical and organizational measures to protect your data and act promptly to fix any issue reported to us.
We retain festival data for the duration of the festival cycle and for a reasonable period after for results, grievance and audit purposes. Photos and contact details not required for the University’s academic or statutory records are deleted thereafter as part of routine clean-up between festival cycles.
You can view and update most of your own profile from your dashboard at any time. To request correction or deletion of data we hold about you, or to raise any other privacy concern, contact your Professor In-Charge or the Department of Youth Welfare, Gujarat University.
